OPEN POSITION: Operations and Event Success Coordinator

ABOUT THE ROLE

At ProFeds, we are on a mission to ensure that every federal employee steps into retirement with clarity and confidence. Our FedImpact Retirement Workshops bring that mission to life nationwide, and the Operations and Event Success Coordinator is the linchpin who keeps that experience exceptional from start to finish.

This is far from a standard support role. You will be the voice of our brand for attendees at a pivotal moment in their lives, as well as a trusted operational partner to our Director of Operations. If you are a high-performing professional who takes genuine pride in delivering white-glove service, communicates with warmth and authority, and thrives on making complex logistics run flawlessly, you will fit right in.

ProFeds is growing rapidly, and we want a team member who is ready to grow with us. This is not a static role. While you will start by mastering our attendee experience and workshop logistics, you will be working directly alongside our Director of Operations. For a high-performer, this position offers a clear trajectory to take on larger strategic responsibilities, with potential pathways into Operations Management, Event Production Leadership, or Client Success Management as our team expands.

REQUIRED SKILLS

  • Exceptional written and verbal communication skills, with the ability to articulate complex details warmly and clearly.
  • A proactive, solutions-oriented mindset—you naturally anticipate operational bottlenecks before they happen.
  • Superb organizational skills and the ability to manage competing priorities calmly in a fast-paced, remote environment.
  • Strong understanding of best practices for use of Artificial Intelligence

RESPONSIBILITIES

  • Champion the Attendee Journey: Serve as the knowledgeable, polished, and empathetic primary contact for workshop and webinar attendees across email, phone, text, and CRM channels.
  • Own Problem Resolution: Address complex attendee questions and operational hurdles with confidence and care, ensuring every individual feels valued, heard, and respected.
  • Foster Brand Loyalty: Go beyond transactional fixes—proactively engage with attendees to build trust and long-term satisfaction with FedImpact programs.
  • Drive Operational Efficiency: Partner closely with the Director of Operations to manage speaker travel coordination, expense reporting, workshop rescheduling, and critical attendee notifications.
  • Maintain Data Integrity: Precision-log all attendee interactions in our CRM, ensuring profiles are flawless and no detail is overlooked.
  • Navigate Critical Situations Gracefully: Masterfully manage escalations, knowing when to resolve an issue independently and when to pull in internal stakeholders, always keeping the attendee at ease.
  • Cross-Functional Collaboration: Partner with marketing, logistics, and leadership teams to optimize the attendee journey and swiftly resolve operational bottlenecks.
  • Continuous Improvement: Track service metrics, synthesize attendee feedback, and actively pitch ideas to raise the bar on our operational workflows.

EXPERIENCE

  • A Bachelor’s degree or equivalent professional experience in communications, business operations, project management, or client success.
  • 3 to 5 years of experience in a high-touch client relations, event coordination, or executive operations support role.
  • Demonstrated experience with Artificial Intelligence utilization
  • Tech-savviness, with proficiency in CRM platforms, Google Workspace, travel booking systems, and expense management tools.

COMPENSATION & BENEFITS

  • This is a non-exempt, hourly, full-time (40 hrs/wk) role.
  • Pay for this position will be commensurate with current experience level and initial training required to perform job functions.
  • This is a remote position with flexible work hours. Occasional travel will be required.
